Change the Primary Admin User in QuickBooks Online

When you’d use this: Change of ownership, organizational updates, or when a new user needs full admin privileges in your account.

Access Manage Users in QuickBooks Online #

Sign in to QuickBooks Online using your current primary admin credentials.

  • Select the Settings ⚙ icon.
  • Choose Manage users.
  • Locate the user you intend to promote to primary admin.

Ensure the User Has Admin Rights #

Before you can transfer the primary admin role, the target user must be an Admin.

  • If they are not already an Admin, select Edit, change their role to “Admin,” and confirm.

Transfer the Primary Admin Rights #

To officially transfer the role:

  • In the Action column, click the three-dot (⋮) or “Action” menu next to the user.
  • Select Change primary admin, then confirm by selecting it again.
  • Sign out of QuickBooks once the process completes.

New Admin Accepts the Role #

The designated new primary admin will receive an email invite.

  • They must open the invite and sign in to their Intuit account.
  • Once accepted, primary admin rights transfer; you will revert to a regular Admin role.
